Note: This guide was updated on 8/12/2022

This tutorial will guide you through the process of setting up a Polycom Trio series IP Conference phone with Vertical Wave.  In this example, we are using a Trio 8800.  The Polycom Trio 8500 process is identical to the Trio 8800 process.

Requirements:

  • Vertical Wave version 4.5 or higher.
  • A Wave User License (if you’re simply swapping out an existing IP phone for a new IP phone, you’ll already have a user license)
  • A Wave 3rd Party Generic IP Phone License

Step 1 – Setup the Wave user for a 3rd Party SIP Device

We’re first going to setup your Wave user for a 3rd party IP phone.  To do this, access the administration console of your Wave system, run TVAdmin, go to the User Section, then open the user of your choice.  In this example, we are working with the user “Heather Smith” at extension 103.  You may want to name this something along the lines of “Conference Phone”, etc.

Under “Associated device”, choose “IP phone MAC address:” and use the MAC address of the phone.

Note: When using a 3rd party generic IP device, you can specify any unique MAC address here such as 000000000001, 000000000002 etc, however, we do recommend you use the correct MAC address of your device for consistency.

For “Telephone type”, select “IP Third Party SIP Telephone”.  Note: If you do not have this option available, you’ll need a Wave 3rd Party Generic IP Phone License as mentioned above.

Now expand “Phone” at the left, then click on “SIP”.  Wave generates a secure authentication password here. Change the “SIP authentication password” to a password of your choice (and confirm in the Confirmation box below). We will use “password1” for simplicity in this example, however we suggest using a secure password here. Do not change the “SIP authentication username”.  Make a note of the “SIP authentication username” as we will need to configure the phone to use this same information.

Click OK when finished.  We’re done with the Wave side, so you can close TVAdmin, then logoff of the Wave console.

 

Step 2 – Configure the phone

We recommend that you have the Trio on its latest firmware before configuring the phone.  As of when this tutorial was written, the latest firmware for the Trio is version 7.0.2.1073 and is available via Polycom’s Trio Support Page.

We’re going to assume you have the phone on its latest firmware, is at it’s factory defaults, and is connected to your network before proceeding.  If you do not have the phone connected to your network, please contact your network administrator for assistance with this.

Once the Trio is powered up and on your network, use the touch-screen on the phone to navigate to Settings / Status / Network / TCP/IP Parameters and make note of the “IPv4” address shown.  This is the local IP address of the Trio.

Open a web browser and navigate to the IP address of the phone (http://<IP.ADDRESS>).  The default login is “admin”, and the default password is “456”.  Note:  You may have already changed this password during initial setup of the phone.

Once logged in, select “Simple Setup” from the top menu, then set the options as follows (as shown in the screenshot below):

Base Profile: Generic  (This setting is critical for the phone to operate with Wave!)

SIP Server:

Address: IP address of your Wave system

Port: 5060

SIP Outbound Proxy:

Address: IP address of your Wave system

Port: 5060

SIP Line Identification:

Display Name: User name you created for this phone in TVAdmin

Address: The extension number of the user you created for this phone in TVAdmin

Authentication User ID: The “SIP authentication username” which you noted in TVAdmin from Step 1 (“Smith103” in our example)

Authentication Password: The “SIP authentication password” which you noted in TVAdmin from Step 1 (“password1” in our example)

Once the above is correct, click “Save” at the bottom.

After 15 seconds or so, your Polycom phone should successfully register with Wave and is ready to place and receive calls.

 

Step 3 – Optional, but recommended…

The Polycom Trio has several codecs enabled by default.  We can clean these up by disabling unused codecs.

Note: If you are using your Polycom Trio with Polycom’s video products, do not disable these codecs.

From the top menu, select “Settings”, then “Codec Priorities”:

 

Under “Audio Codec Priority”, remove everything except for G.711Mu, G.711A, and G.729AB from the list of “In Use” codecs on the right, as seen in the screenshot below.

Expand “Video Codec Priority”, then remove everything from the list of codecs on the right, as seen in the screenshot below.

Click “Save” at the top right when complete.  You may now close the Polycom configuration page.
