Initially configuring a new VIP series IP phone is typically an easy task and takes just a couple of minutes to complete.  We will walk through the process in detail, which involves setting up a user associated with the MAC address of your new phone, then telling the phone to connect to Wave.

This tutorial applies to the Vertical VIP-9802, VIP-9820, VIP-9830, and VIP-9840C IP phones.

First, we need to setup our new user (which requires you have at least one available user license).  Login to the Wave Global Administrator then click on “User/Group Management”, or use a Remote Desktop Session to connect to the console of Wave, then run “TVAdmin” from the Start Menu.  Once logged in, click on “Users” at the top left.

Right click in the Users area, then select “New User”.  Assign a name, extension, and password for this user, then select “IP phone MAC address:” and key in the MAC address from the back of your VIP series phone.  Double check to be sure this is accurate, as the phone will not function if the MAC address is incorrect.

Then, for “Telephone type:”, select the appropriate VIP series phone model you are using.  Note the options which end with “ + Single LSS” should only be selected if you are using the optional/extra LSS console attachment on your VIP series phone.  If you’re simply using the standalone VIP series phone, select the model from the list.

 

Proceed to setup the rest of your user’s options as usual, then click OK to save this user.

Now we need to tell the phone to connect to Wave.  If your network administrator has setup your DHCP server’s Option 66/150 (which would automatically tell your IP phone where your Wave server is located), these next steps are not necessary, and you should be able to plug in and use your phone at this point.  Otherwise, let’s proceed to configure the phone.

Plug in your phone and allow it to fully boot up.  This can take up to a couple of minutes to complete.  You’ll likely see “Not Registered” on the display of the phone.  Let’s find the IP address of the phone.  On the physical phone, press the “Menu” button:

Now, using the 4 way directional key at the bottom right side of the phone, scroll down until you see “Status”, then press OK, then “Information” and press OK.  Make note of the IP address shown here.

Using your web browser, navigate to http://<IP-ADDRESS>:8000 where <IP-ADDRESS> is the IP address you noted above.  Be sure to add the “:8000” at the end here.  You should see a “Welcome” page, click on the Welcome logo and you’ll be prompted to login.  The default login credentials are:

User Name: user

Password: lip

You’ll then be presented with the phone’s configuration.  Click “Provisioning” on the left:

 

In the “Address” field under “TFTP Server”, enter the IP address of your Wave server.  Note that this is NOT the IP address of the phone you noted above – this is the IP address of your Wave server.  If you are not sure of what this is, please ask your network administrator.

Note: If you are using DHCP Option 66/150 for something other than Wave, or not using it at all, you may set “get from DHCP(Option 66/150) ” to “Disable“.

Click Save once complete, then at the menu on the left, under “Status”, click “Reboot” to restart the phone.  The phone should reboot and will pull its configuration down from the Wave server, at which point the display should show the user name/extension.

Important!  If you’ve followed the instructions above, but the phone is not registering with Wave – check to be sure the “VIP” user in Windows (on the Wave server) is not locked out or has a password restriction in place.  We’ve seen this occur due to a domain policy in the past, which prevents the phone from being able to grab its configuration file from Wave.  To check this, RDP to the console of your Wave system, go to Start / Control Panel / Administrative Tools / Computer Management, expand “Local Users and Groups”, click “Users”, then open the “VIP” user and verify that “User must change password at next logon”, “Account is disabled”, and “Account is locked out” are NOT checked, as seen in the screenshot below:

If these are checked, then un-check them, click OK, then restart the IP phone.

Note: The first time the phone connects to the Wave server, it will automatically download and install any applicable software updates on the phone, which will take some extra time.  This progress will be displayed on the screen of the phone.
